Service Description

Monstully provides the following for event management: Conference o Maintain conference webpage, updating as necessary o Manage registration activities o Update online registration forms o Update application for exhibit space o Oversee design and write copy for registration postcard/brochure o Develop and distribute e-Marketing materials and registration reminders o Receive/process all conference registrations o Produce and distribute weekly registration and hotel pickup reports to board and committee o Print name badges o Produce pre- and post-registration lists o Make all food and beverage arrangements o Determine menus to meet group's needs o Convey all F&B requirements to hotel o Review and approve banquet event orders o Arrange for special décor or theme, if applicable, and work with corporate sponsor on details o Assist with program development o Assist committee chairs with fulfilling responsibilities, including developing learning objectives o Arrange any speaker honorariums, accommodations requests and travel reimbursements o Provide session details to company for assigning CME credit o Upload registration lists and credit details o Work with grant coordinator to provide requested information o Prepare written agenda packets, i.e., intros for presenters, agenda for sessions, etc. o Write thank you notes to all participating presenters and coordinate gifts, if applicable o Confirm and arrange for AV, speaker handouts, etc. o Develop a printed program for use on-site at conference o Manage on-site logistics o Staff and stock a registration desk (number of staff in attendance contingent on number of attendees) o Register on-site attendees o Oversee all functions - educational sessions, meals, social events o Act as liaison with hotel for set-up, AV, F&B, etc. o Ensure promotional materials are displayed o Arrange for necessary signage o Assist with generating sponsorship and exhibit sales o Develop sponsorship packages and arrange for benefits for sponsors o Market sponsorship and exhibiting opportunities, along with CME committee chair o Communicate exhibit hall details to exhibitors o Thank all sponsors o Handle VIP accommodations and travel, if applicable o Draft and distribute conference evaluation and compile results o Attend conference board meeting and draft minutes and action items
